How do I configure the schedule for when I send archives?

Set up when, how often, and where your MyRepChat archives are sent

The Archive Schedule controls where your archives are sent, how frequently, when they start, and which layout they use. It defines the periods that correspond to the audits shown in the Archive Audit section, so you can verify your archives are being sent correctly.

How Do I Set Up My Archive Schedule?

  1. Under Group or Account Settings, click the Archive tab.
  2. Scroll to Provider and choose your Archive Provider. A secondary area will appear to configure your schedule.
  3. Click Add Schedule and enter the following:
    • Archive Layout: The layout to use for your archives.
    • Frequency: How often an archive is sent. By default, archives are sent once a day, but you can set this as frequently as every hour.
    • Start Hour: The time the first archive period begins. For example, a 4-hour frequency starting at midnight creates 6 daily periods: midnight–4am, 4am–8am, and so on.
    • State: The current status of your schedule — see below for details.
    • Audit Email: The email address that receives status updates for each archive sent. See How do I know all my messages are being archived? for more on the audit email format.

Frequency runs on rolling hours, so if your frequency doesn't divide evenly into 24 hours, or when daylight saving time shifts, a period may not begin exactly at your specified start hour. This only happens on the first day a schedule is created.

What Do the Schedule States Mean?

  • Editable: Save (and test) your schedule without archives actually being sent.
  • Active: Locks in the schedule and starts sending archives to your provider.
  • Disabled: Stops sending archives for this schedule. If you switch it back to Active, it picks up from where it last left off.
  • Deleted: Permanently stops sending archives on this schedule. Past audits remain viewable, but the schedule can't be reactivated.

Once a schedule is set to Active, it can't be changed — this is for audit purposes. If you need to make changes, delete or disable the schedule and create a new one instead.

An archive isn't sent immediately after a period ends. This allows time for messages near the period boundary to fully process, and there may be additional delay if there's a large queue of archives to send. See How do I know all my messages are being archived? for more on auditing.

How Do I Test My Configuration?

Once your schedule is set up, you can send sample messages to your provider using the specified layout — before making the schedule active, and even before creating any real messages on your account. This lets you preview how different message types will look in your provider.

  1. Send the sample messages. You'll see a confirmation that the archive was sent successfully.
  2. Check your Archive Provider to view the messages.

Note:

  • A Rollup by Contact layout produces two archives; Rollup by Period produces one.
  • It may take several minutes for your provider to process the incoming archive.
