Understanding Email Approvals

The Emails Library is the central location for reviewing and approving global email automations. The library contains single emails, email sequences, and event sequences created by connected Publishers. Once emails are approved here, they become visible in the Content Library and can be sent by subscribers without further compliance review. It's crucial to understand that approvals on this page are global; if no action is taken—meaning no email approvals are granted—the automation will not send for your subscribers.

Reviewing Emails

On the Emails Library page, you'll find a section titled “Emails That Require Your Review.” The emails under this section are scheduled as part of automated campaigns and need to be reviewed before their listed send dates. Here's what you can do:

  • Approve: This action allows the campaign to send as scheduled and globally pre-approves the email for future use. For FMG automations, ensure you approve emails authored by “FMG.”
  • Reject: This prevents the campaign from sending and removes the email from the Content Library.

Important: If no action is taken, the automation will not send for your subscribers. The email will remain visible in the Content Library, but the campaign itself will not run.

Approval Considerations

Approve-for-All Limitations

The "Approve-for-All" feature is designed to streamline the approval process by allowing a compliance user to approve an email for all subscribers globally, meaning that any subscriber from any queue can use the email unedited without further compliance review. However, this approval only applies to future uses and does not affect existing cases outside of that compliance user's jurisdiction.


When an email shows as “Approved” in the Emails Library, it indicates that any subscriber using the email unedited will bypass compliance review. However, if "Approve-for-All" still appears on a specific subscriber email case, each approval will only update the “Reviewed By” field and not indicate which queues it was approved for. For the purposes of the Emails Library, the email is approved for everyone moving forward, but current cases in queues outside the compliance user's jurisdiction remain unaffected and must be approved by the respective compliance users.

Auto-Approval of Unedited Future Cases

Once an email is marked “Approved” on the Emails Library page, all unedited future cases are auto-approved across queues, regardless of assignment. This feature can help streamline future approvals, but it's important to ensure that the original approval is thoroughly reviewed.

Tips for Navigating Approvals

  • Regularly Monitor the Emails Library: Check the Emails Library page frequently to ensure that emails are being approved in a timely manner.
  • Utilize Approve-for-All: Remember that “Approve-for-All” only applies to the cases in your queues.
  • Leverage Auto-Approval: Take advantage of the auto-approval feature for unedited future cases. Once an email is marked “Approved,” future cases will be auto-approved across queues, saving time.
  • Approval Capabilities for Limited Access Users: If you don't have access to Library Cases > Emails, you can still use the “Approve-for-All” feature when reviewing subscriber cases to approve unedited emails for all.
