How to Manage, Review, and Approve Social Media Content

Introduction

The Social Compliance Library is a dedicated space where you can review, approve, or hide social media content created by connected Publishers. This feature is an integral part of the FMG Compliance Workspace and is designed to enhance the compliance review process. 


This article covers the following topics to help you utilize the Social Compliance Library effectively:


Accessing the Social Compliance Library

To access the Social Compliance Library, follow these steps:

  1. Log in to your account.
  2. Access the Social Compliance Library Page: Navigate to the "Library Cases" section and select "Social Posts" from the left navigation panel.

On the Social Post Library page, you can view and manage your compliance rules for social posts and social sequences.


Social Post Library Overview

On the Social Post Library page, you’ll find a comprehensive list of all social posts and sequences created by connected Publishers. This interface allows you to:

  • View and Change Status: View and change the status of content pieces.
  • Preview Content: Preview content pieces.
  • Identify Content Type: Determine whether the content is a Social Post or Social Sequence.
  • Last Updated Date: View the date the content piece was last updated.
  • Check the Author: See who created the content piece.
  • Review History: View the history of status changes.
  • Read Notes and Tags: Access notes and tags associated with the content piece.

Search and Filter Options 🔎

To efficiently locate and manage content, utilize the following tools:

  • Search Bar: Enter the name of the content piece and click "Search" to locate specific posts.
  • Filter Dropdown Menus:
    • Status: Filter content by compliance status (Approved, Hidden, Visible).
    • Type: Filter by content type (Social Post, Social Sequence, Event Social Sequence).
    • Author: Filter by author (e.g., FMG, Do It For Me).

Compliance Management and Content Review

Compliance Status Options

The compliance status of each content piece can be viewed and modified directly from the table. Use the dropdown menu under the "Status" column to set the appropriate compliance level:

  • For programs with Compliance Review for Social Media Posts enabled:
    • Visible: Content can be used by Subscribers but requires compliance approval.
    • Approved: Content can be used as-is without further review. Any edits will require compliance approval.
    • Hidden: Content is not visible or usable by Subscribers.
  • For programs with Compliance Review for Social Media Posts disabled:
    • Visible: Content is available for Subscribers.
    • Hidden: Content is not visible or usable by Subscribers.

Previews

The Previews feature allows you to directly preview social posts and sequences within the library. This functionality helps you quickly assess the content, ensuring it aligns with compliance requirements before making any decisions. You can preview content by:

  • Clicking on the title of the content piece to open a preview.
  • Choosing "Preview Post" from the Actions dropdown menu.


Review History

The Review History feature provides a complete audit trail of compliance status changes for all social content. This ensures transparency and accountability, allowing you to track any modifications made over time. You can access the review history by:

  • Clicking on "Last Reviewed By" in the table to view the history of status changes.
  • Selecting "View History" from the Actions dropdown menu.


Notes

Notes associated with each content piece can be accessed to provide additional context or instructions related to compliance. These notes help in documenting important information and decisions made during the review process.


Tags

Tags are used to categorize and organize content pieces effectively. By assigning relevant tags, you can streamline the process of searching and filtering content based on specific criteria, making it easier to manage large volumes of social media content.


Note: Case Tags (Case Classification) is a Compliance Suite Premium feature.


Notifications

Stay informed with the New Content Email Notification feature, which ensures you are always up-to-date with the latest social posts or sequences requiring review. Whenever new social posts or sequences are published, a notification email will be sent to all email addresses listed under Email Notifications in the "New Content" area.


To manage your email notifications:

  1. Access Settings: Click on your username in the upper right corner of the screen and select "Settings."
  2. Add Email Address: Under the "Email Notifications" section, add the email address where you would like to receive notifications about new content.


This feature helps you manage your workload effectively by keeping you informed of new content that needs your attention, ensuring timely compliance review and decision-making.


FAQs

How will compliance teams be notified when new content is added?

Compliance teams can be notified of new content through email notifications. To set this up, navigate to the "Settings" page by clicking on your username in the upper right corner. Under the "Email Notifications" section, add the appropriate email addresses in the "New Content" area to ensure that all relevant team members receive alerts when new social posts or sequences are published.

Can compliance officers perform bulk updates to compliance statuses?

No, we do not support bulk updates for pre-existing published content at this time. Instead, compliance teams will individually review and update the compliance status of content pieces in their Content Library Cases area.

How does hiding content affect social sequences?

Compliance Users are unable to hide individual social posts that are part of a social sequence in the Social Compliance Library. While they can view the entire social sequence and have the option to hide it entirely, they cannot hide just a single post within the sequence. Hiding an individual social post will result in the entire social sequence being hidden.

What happens when a new Publisher/Agency is created?

If a new publisher is linked to a subscriber account with direct compliance, the default global compliance rule for social content will be set to “Visible.” If pre-approval is needed, the default must be changed to “Approved” through a home-office support request.

What happens when a new Compliance Program is created, and our compliance team wants Social Posts or Social Sequences hidden or pre-approved by default?

The global default setting is initially set to Visible, but the global default or publisher override default setting can be changed through a home-office support request.

Why does the date in the Reviewed By History differ from the Last Updated date for some of my social posts or sequences? Shouldn’t they be the same?

The dates can differ because they track different types of changes.

  • Reviewed By History date updates when a post or sequence is published.
    • Publishing runs the post or sequence through the compliance rules engine to set a compliance status, such as for pre-approved social content, and records the date the status was assigned.
  • Last Updated date only changes when the post content itself is edited.
    • Metadata changes (tags, keywords, images, titles) do not update the Last Updated date.
    • We plan on standardizing the last updated dates in the future so they are consistent with any changes made to the post.

Example: If you edit a social post today but only update keywords and republish, then:

  • Reviewed By History = today’s date - because it went through the rules engine at the time it was republished.
  • Last Updated = original content edit date - because the social post content wasn’t updated, just the metadata.
